How we handle your details

This notice covers fendrum.com and the emails we send for our services: Backcallr, Tin Awning, Reply Bench, Friday Permit File, Duty Ledger, Dwell Desk and Sunday Clip File. It explains what we collect, why, and how to stop us using it.

What we collect for business outreach
We email businesses and other organisations, such as churches, in the United States about services that fit what they do. We build our own lists from public sources, mainly the business's own website and its public listings. We don't buy email lists. For each business we may record:
- the business name, website, city and state
- a business email address the business publishes, and the page where we found it
- the name of a contact person, only if the business lists that person publicly, such as an owner or manager
- public facts about the business that relate to the service, for example products listed on its site, what it imports, or how many recent Google reviews have no reply, plus the date we checked them
- which service we wrote about, when we wrote, and whether you replied
We don't collect home addresses, personal phone numbers or sensitive personal information for outreach.
If you reply or become a customer
We keep your emails to us and anything you send us so we can do the work, for example forwarded review emails, an invoice you want checked, a sermon recording, or the details needed to set up a service. If you pay us, the payment is handled by a payment provider and we don't store card numbers.
How we use it
- to send a business one email about a relevant service, and at most one follow-up in the same thread
- to answer your questions and deliver what you've asked for
- to make sure we never email someone who has opted out
Our first email to a business has no links, attachments or tracking. Every email includes our postal address and a way to opt out.
Our do-not-email list
We keep one do-not-email list for every Fendrum service. Before any email goes out, we check it against that list. When someone opts out, we add:
- Email address
- The address that opted out.
- Domain and business name
- So nobody else at the same business is emailed by any of our services. Free email addresses like Gmail are blocked by exact address only.
- Service
- Which of our services the opt-out came from.
- Reason
- Unsubscribe, a STOP reply, a complaint, a bounced email or a manual entry.
- Date and notes
- When it was added, and a short note if needed.
We keep this list permanently, because deleting an entry would mean we could email you again by mistake. We never share or sell it.
Tools we use
We use software tools, including AI services, to organise our records and to draft emails and deliverables. Our email runs on a mail server we manage. These providers handle data only to do that work for us, and their servers may be outside your country.
This website doesn't use cookies, analytics or tracking scripts. The server that hosts it may keep standard access logs, such as IP address, browser type and the pages requested, which are used only to keep the site running and secure.
We don't sell personal data
We don't sell or rent personal data or our lists to anyone. We only pass data to the service providers above so they can do their job for us, or where the law requires it.
How long we keep it
We keep outreach records only while we need them for the service they relate to, and we delete the ones we no longer need. Customer records are kept as long as needed to deliver the service and keep proper business records. The do-not-email list is kept permanently, as explained above.
Opting out
Reply "unsubscribe" or "no thanks" to any email from us, or email mark@fendrum.com with the subject "Unsubscribe". One opt-out stops emails from every Fendrum service. More on opting out.
Asking what we hold, or asking us to delete it
Email mark@fendrum.com with the subject "Delete my data", or "My data" if you only want to see what we hold. Tell us the email address and business it's about.
When you ask for deletion, we delete our outreach records and correspondence about you. We keep only your email address and domain on the do-not-email list so we never contact you again, and we'll tell you that when we confirm. You can also ask us to correct anything that's wrong.
Children
Our services are for businesses. We don't knowingly collect information about children.
Changes
If we change how we handle data, we'll update this page and the date at the top.
